TripAdmit’s new Digital Guest Questionnaires put a tour operator’s own feedback form on every guest’s phone, unique to each tour and in the operator’s branding. Every answer reaches head office the moment it’s sent and runs straight into the Product Improvement Platform, so you can drill into what guests said tour by tour, departure by departure, Tour Manager by Tour Manager and guest by guest.
Questionnaires are the newest part of the TripAdmit Review Suite, and they’re live today.
Why We Built It
Many multiday and escorted tour operators still hand out a paper feedback form in the welcome pack. It’s a good form, and guests are used to filling it in. The trouble is everything that happens after.
Paper forms reach head office weeks after the tour has finished, when it’s too late to put anything right. The comments, which are the most valuable part, have to be read one by one and typed up by hand. And the whole process relies on every hand-off going right, from the coach to the office.
We built Questionnaires to keep the questions operators already ask and remove the delay.
What Guest Questionnaires Do
- Unique to every tour. Each itinerary gets its own questionnaire, listing that tour’s hotels, visits and excursions, so guests rate the places they actually stayed and saw.
- Your questions, kept. Overall satisfaction with the brochure, travel documents, the tour and the Tour Manager; a rating for every supplier; guest profile questions; and free-text comments.
- Your branding, no app. Guests answer on their own phone in two or three minutes. Name and email are optional, so they can be candid.
- Live at head office. Every response appears on your dashboard as soon as it’s sent, while the tour is still on the road.
- Unhappy guests first. A daily alert email lists every new response with unhappy guests at the top, in their own words. A weekly summary adds an AI overview of what went wrong and what guests loved, with the full report attached as a PDF.
Not Just a Report: Analysis You Can Drill Into
This is where Questionnaires differ from a general survey tool such as SurveyMonkey, Typeform or Google Forms. Those are great for one-off surveys, but they stop at a report and a spreadsheet export.
With TripAdmit, every questionnaire runs through the Product Improvement Platform (PIP), our AI analysis tool. Start with the big picture, then drill down:
- Tour by tour: see which tours delight guests and which are slipping, and why.
- Departure by departure: spot the one departure that went wrong before it becomes a pattern.
- Tour Manager by Tour Manager: scores for every Tour Manager and driver, with the comments behind them, for coaching and recognition.
- Supplier by supplier: every hotel, visit and meal rated, so you know who to talk to and who to thank.
- Guest by guest: open any guest’s full response, in their own words, and follow up where it matters.
- Recurring themes: AI reads every comment sentence by sentence and flags issues that keep coming up, with the guest quotes behind them.
So instead of reading that one guest didn’t sleep well, you see that road noise at one hotel has been mentioned by several guests across three departures, and you can move the next group before they arrive. And because PIP also reads your public reviews, questionnaire comments sit alongside your Google and Tripadvisor feedback in one place.
One Suite, Working Together
Questionnaires bring together products many of our operators already use.
- In-tour collection. Tour Managers invite guests to scan a QR code at set moments, such as Day 1, mid-tour and the final day, using the same QR codes and NFC cards as our in-tour review collection. A QR code on every seat back means guests can also give feedback whenever they like, in private.
- The Guide App. Tour Managers and guides use the TripAdmit Guide App on tour to share their QR code with guests and see the feedback that comes back.
- Post-tour collection. After the tour, post-tour messaging by email, SMS or WhatsApp catches anyone who didn’t respond on the coach.
- The Product Improvement Platform. Every answer feeds PIP’s drill-down analysis and recurring themes.
The same QR code then takes happy guests on to a Google or Tripadvisor review, while unhappy guests’ feedback stays private with you. Guests who want to say thanks can leave a tip for their Tour Manager or driver, and book any optional excursions still to come. One platform, one login, one set of reports.
How It Works
- Set up. Share your current form and your tour itineraries. They become one questionnaire per tour, in your branding, with QR codes for every coach.
- On tour. Your Tour Manager prompts guests at set moments, and the seat-back QR code is there whenever they want it.
- At head office. Read the daily alert and weekly summary, then drill into the Product Improvement Platform to see what to fix before the next departure.
Built for Multiday, Ready for Day Tours
Questionnaires were built for multiday and escorted tours, where guests stay in several hotels and see many suppliers. Day tour operators can use them too, with a shorter questionnaire, a QR code on the vehicle or from the guide, and post-tour messages after the tour.
See It in Action
We keep building the TripAdmit Review Suite around one idea: collect more feedback, show it off where it helps, and learn from every word of it. Guest Questionnaires are the next step.
